Free“When are you doing this again?” This was the question of the day last year during the Free Shred Event–Prevent Identity Theft Day. As they say, back by popular demand, residents can come again to the Stuart Police Department on Saturday, August 1, 2015 to have their confidential documents shredded on-site. Last year over 113 vehicles with happy and appreciative residents arrived at the Stuart Police Department. This year, the Martin County Hazmobile will also be there for the disposal of common household hazardous materials.

The Stuart Police Department continues to show their commitment by promoting shred events, increasing public awareness of identity theft, and encouraging shredding of personal documents. Residents see their documents placed into bins and hoisted into the shred truck. They can watch the shredding through the video monitor on the shred truck. Residents leave with peace of mind because they know that their sensitive information is securely destroyed.

Florida has the nation’s highest rate of identity theft but there are many ways to prevent identity theft. Getting free credit reports, monitoring your credit cards, and checking bank account activity are just a few. Shredding is another way to ensure that your confidential information is destroyed to prevent it from getting into the wrong hands.

The following documents should be shredded when they are no longer needed: credit/debit card receipts, old tax records, insurance records, bank statements, cancelled checks, health records, financial documents, legal documents, credit card offer letters, billing information in the center pages of magazines, and all other documents with your social security number and driver’s license number.

Beyond the free shred event, individuals and businesses must do everything possible to prevent identity theft. If you have accumulated too much to shred yourself, use a secure, convenient, and economical NAID AAA Certified company to destroy it. It is important to use a secure on-site shredding service. Even with this shred event, your documents are not carted away to be sorted and shredded at another location. All shredded materials are recycled into new paper products and kept out of landfills.

A COMMUNITY SHRED EVENT – COMMITMENT AND CARING FOR CUSTOMERS

When Lisa of Paradise Tire and Service requested our help in providing a shred event for her customers, we were pleased to provide this service. Knowing that Lisa and her family are very involved in service to customers and the community, it was definitely an opportunity to help them give back to their loyal customers. This was an event of shredding, automobile servicing, cementing current relationships, and forging new relationships. As customers arrived, some reported “I’ve been waiting for this for a long time.”

Customers were allowed to witness the document destruction through the truck’s video monitor. Here is what one person said after witnessing the on-site document destruction: “This is so interesting. Thanks for letting me watch. This is like a TV Show.”  They were aware that their documents were destroyed immediately in their presence and could not be put back together. They were informed that all shredded materials would be taken to a recycling facility and would not end up in landfills. The peace of mind from knowing that their sensitive information was securely destroyed is priceless.

The heightened awareness of identity theft and tax fraud is never far from anyone’s mind. Someone reported “I’m so happy to get rid of these tax documents. It was certainly like Shredding in Paradise in the 89° F temperature. We were shaded under a red tent provided by Lisa. Appreciative customers arrived on the lot to have their oil change and other auto service done. They also got some secure on-site document shredding done on a sunny Saturday morning in Stuart. We appreciated the opportunity to provide this shred event for Paradise Tire and Service.

SONY DSCWhenever we receive a call from a potential customer about starting recurring shredding service, it is always met with joy because it says people understand the importance of the service and they want the service. In any service industry, we are sure there is no more joyous moment than when someone wants your service.

Recently, a call for recurring service was preceded by a question from a former customer who had used us for a purge service but had not reached the stage of moving toward recurring service. However, the question was “Do we repair shredders?” Of course, the answer was no but a few days later someone from the same organization called and said “…you tried to encourage us to use an ongoing shredding service but we were not prepared to do so at that time. Please bring me containers and whatever documents we will need to start the process of recurring monthly shredding service.” Reportedly, the company that repaired their “industrial shredders” was no longer in business and a new company’s estimate (with layers of complex billing fees) was more than they could bear. Interestingly, the response to our estimate for monthly on-site shredding service was “That’s reasonable. I can’t believe that is all we have to pay.”

A recurring shredding service is more secure, economical and convenient than in-house shredding. Staff time is more valuable than standing around feeding an office shredder or “industrial shredder.” The office “industrial shredder” might be bigger than your regular office shredder but it still needs to be hand-fed. How often do you think of hard drive destruction and the importance of destroying the information on hard drives so that it never comes back to haunt you? We get it about document destruction. We know that we should shred documents so that their contents can never be retrieved. The same thinking should apply to properly destroying information on hard drives.

In addition to paper records, many businesses and individuals keep confidential information on computer hard drives. Commercial photocopier hard drives also store the processed images. Certain video recorders also store data on hard drives. Damaged or outdated hard drives must be destroyed to ensure that confidential information is not compromised. Simply erasing electronic files or formatting hard drives does not destroy the stored information. A hard drive contains an indexing table that points to the location of file contents. “Permanently deleting” electronic files from a hard drive removes the indicator of where the file information is located on the hard drive, but does not actually remove file contents. Also, formatting hard drives destroys the indexing table but does not remove the file contents. These file contents are routinely recovered and reassembled with hard drive data recovery software, unless the platters on which the information is stored are physically distorted/damaged. Complete hard drive data destruction requires physical destruction of the hard drive by physical distortion of the platters. Do not use a hammer or drill to destroy a hard drive. It is unsafe, uneconomical, and a waste of your time. There is a safe and secure alternative!

Some shredding trucks (such as SelectShred’s) have hard drive destroyers that physically destroy the platters, rendering the hard drives unusable and data irretrievable. You can witness the on-site hard drive destruction. The hard drives can be returned to you. However, it is best to have them responsibly disposed of, wherein the rare earth magnets and other metals in the hard drives are extracted and recycled, ensuring total destruction of the drives and keeping toxic materials out of the landfills. The hard drive serial numbers are recorded and certificates of destruction are provided. This process assures you of the ultimate destruction of information stored on hard drives.

It seems that every day there is a report of another data security breach and the ongoing fight against identity theft continues. Unfortunately, some of the data breaches occur in our own companies and sometimes involve trusted employees. The Red Flags Rule requires businesses and organizations to implement a written identity program for detecting the “red flags” of identity theft.  The Federal Trade Commission (FTC) enforces the Red Flags Rule with several other agencies.

On January 1, 2011, the FTC began enforcing its Fair and Accurate Credit Transactions Act of 2003 (FACTA) Red Flags Rule. It requires organizations that extend payment terms to customers to implement a written identity theft prevention program which identifies customer information that is vulnerable to unauthorized access; institutes precautions to address those identity theft vulnerabilities and train employees to comply with the precautions; alert the authorities or alert potential victims when a threat to identity theft is realized; have the program signed by the board or company owners annually; and require audits of data-related vendors with access to personal information.
