Dollars 4-29-2015Before using a secure on-site shredding service, many business owners and residents had not realized how secure, convenient and economical it is to use a properly vetted third party document destruction service to shred their confidential information. The following are some excerpts of conversations we have had with customers after they discovered the security, convenience and economy of using our local on-site shredding company.

“In the past, I have paid three times what I’ve just paid your company to shred my documents. I also felt more secure with your service because I could watch my documents destroyed.”

“I used to spend about two hours to make sure that I saw my documents shredded at a drop-off facility…and that did not include travel time.”

“I can’t believe we waited to start a recurring shredding service. It is very secure and convenient to have our confidential information kept in one of your locked containers until your truck arrives and shreds outside on a set schedule.”

For businesses, don’t continue to have your office shredders burn out with enough frequency to burn out the office staff. Use a NAID AAA Certified company that provides documentation to protect you – The Certificate of Destruction. Every business should have a system in place for regular shredding to protect its customers/clients, its staff, and its proprietary information.

Residents understand that they should not throw any confidential information in the trash and dislike leaving their information anywhere for shredding at a later date. Most residential customers derive peace of mind from insisting that their sensitive documents are shredded in their presence.

If you have questions regarding proper document security procedures, we are here to help you.

IMPORTANT DOCUMENT DESTRUCTION POINTERS

In our many discussions with prospective customers, it is imperative for us to inform purge (one-time) customers and potential recurring customers that shredding documents is as important as any other risk management and security decision that they make. The following are three important pointers:

    1. Embrace your role as the qualified decision maker: Too many times, the owner or management in charge reports that the secretary, assistant, or staff will decide whether to hire a document shredding service. An organization should not leave the decision about data breach prevention, compliance with federal laws such as HIPAA, FACTA, and GLBA, and the protection of its corporate image, proprietary information and confidential information to staff members who are not fully accountable for the repercussions of information security breaches.
    2. Care about the service provider and type of service: The lowest price and the easiest way to get rid of confidential documents are often the riskiest approaches. Understand what using a NAID AAA Certified company can do to protect your sensitive records up to destruction. Choose the document destruction service provider and process that absolutely minimizes your company’s exposure to information security breaches, privacy law violations, breach notification requirements, fines, and litigation.
    3. Have a foolproof document destruction plan: Avoid rationalizing which information is not confidential and should not be shredded. Implement a program where all documents that are no longer needed get shredded. Avoid the notion that some documents are not confidential so they can be recycled whole or thrown in the trash. Don’t straddle the fence by hiring a shredding service while still encouraging employees to use the office shredder, trash bin or recycle bin to dispose of documents. Such practices guarantee information security breaches.

Following these three important pointers are your best defense to strengthen risk management programs and protect your corporate image, proprietary information, trade secrets and confidential information.

If you have questions regarding proper document security procedures, we are here to help you.

SELECTSHRED | MARCH 2015 NEWSLETTER – 4 Reasons to Forgo the Office Shredders
By: richard , Categories: General News , Comments Off on SELECTSHRED | MARCH 2015 NEWSLETTER – 4 Reasons to Forgo the Office Shredders

Whatever you choose to call them – the office shredders or the industrial shredders – you are not exercising your best option in safeguarding the confidential information in your custody and you are not providing your customers, company, organization, or practice with the best risk management option available to you.

The following are 4 reasons to forgo the office shredders:

  • Office shredders are a chore to use but a recurring shredding service is secure, economical, and convenient.

  • Office shredders decrease productivity and decrease profitability, costing at least twice as much to use as a recurring shredding service.

  • Office shredders require maintenance and frequent replacement.

  • Office shredders provide no record of a compliant document destruction program but a NAID AAA Certified company provides you with documentation if legal issues arise.

Protect your business from security breaches and fines by using your local NAID AAA Certified on-site document destruction company.

Get informed about FACTA, HIPAA, GLBA, and the Florida Information Protection Act to make sure that you are compliant with the information protection laws that affect your business.

Shredded paper from your office shredders or industrial shredders that are placed in the trash are still vulnerable to security breaches from dumpster divers who can retrieve your information and use it for fraudulent purposes.

You have no legal ownership of the trash – just ownership of the bad publicity due to misuse of the information discovered in the dumpster. It is easier to avoid fines if you have a document security program in place that is compliant with federal and state regulations.

Video MonitorAs more data breaches are reported in the media and as increased public awareness grows, many customers are requesting to have their documents destroyed in their presence. It is common for the first question from residential customers to be “Can I see my documents destroyed?” It is the peace of mind from knowing that when they walk away, their sensitive information has been reduced to an unusable form. For some business customers, it is required that they guarantee that all confidential information is shredded at their locations.

Our customers are encouraged to witness the destruction of their documents by the state-of-the-art shred truck with video monitor.

Secure on-site document shredding does the following:

  • Protects from data security breaches and enables compliance with federal laws such as HIPAA, FACTA, and GLBA.
  • Decreases exposure to identity theft, privacy law violations, breach notification requirements, fines and litigation.
  • Strengthens risk management programs to protect confidential information, corporate image, proprietary information and trade secrets.

If shredding on-site (at your location) is important to you, ask your local NAID AAA Certified Company to allow you the opportunity to witness the secure destruction of your sensitive information.

Shredding with a NAID AAA Certified third party document destruction service that destroys the confidential documents at your location is your best guarantee to fight identity theft and prevent information security breaches. You are assured to be always ahead of the dumpster divers looking to use any sensitive information they can find for fraudulent purposes.

SELECTSHRED | THE REAL INDUSTRIAL SHREDDER – West Palm Beach Shredding Stuart Shredding Port St Lucie Shredding Fort Pierce Shredding

SELECTSHRED | THE REAL INDUSTRIAL SHREDDER

SONY DSCWhenever we receive a call from a potential customer about starting recurring shredding service, it is always met with joy because it says people understand the importance of the service and they want the service. In any service industry, we are sure there is no more joyous moment than when someone wants your service.

Recently, a call for recurring service was preceded by a question from a former customer who had used us for a purge service but had not reached the stage of moving toward recurring service. However, the question was “Do we repair shredders?” Of course, the answer was no but a few days later someone from the same organization called and said “…you tried to encourage us to use an ongoing shredding service but we were not prepared to do so at that time. Please bring me containers and whatever documents we will need to start the process of recurring monthly shredding service.” Reportedly, the company that repaired their “industrial shredders” was no longer in business and a new company’s estimate (with layers of complex billing fees) was more than they could bear. Interestingly, the response to our estimate for monthly on-site shredding service was “That’s reasonable. I can’t believe that is all we have to pay.”

A recurring shredding service is more secure, economical and convenient than in-house shredding. Staff time is more valuable than standing around feeding an office shredder or “industrial shredder.” The office “industrial shredder” might be bigger than your regular office shredder but it still needs to be hand-fed. It is expensive to maintain and more expensive to use than our on-site mobile shredding service. Let the real industrial shredder on the mobile shredding truck of a local NAID AAA Certified company do the work for you. Your documents are destroyed on-site (at your location). You receive a certificate of destruction at the time of each service for your record. You are serviced by personnel who have been screened and trained in accordance with the strictest standards in the document destruction industry. You are involved in an environmentally friendly process because all of your shredded materials are recycled and do not end up in the landfill. There is also no more worrying about the cost to maintain a shredder.

Well, we are extremely happy to have our new client and know that many others are close to making the decision to have a recurring shredding service as part of their efforts to protect their businesses from the perils of data breaches and identity theft.

5 ITEMS TO BOOST YOUR SECURITY WHEN SELECTING YOUR SHREDDING COMPANYNAID AAA 9-14

For any service that you intend to work with for a day or on an ongoing basis, it is imperative to know who the providers are and what they stand for with regard to giving you the service you deserve to accomplish the task. From the initial phone call through the arrival of the driver at your place of business or residence, the following are five items that will boost your security when selecting your shredding company and consequently the personnel:

  1. Using a NAID AAA Certified Company. The National Association for Information Destruction (NAID) creates the highest industry standards for secure document destruction service. NAID AAA Certified companies follow strict industry guidelines in their operations. Ask for the NAID AAA Certificate and look for the logo.
  2. Working with personnel who have had extensive initial and random background checks, passed substance abuse screening, and passed knowledge based tests in the information destruction process, including for HIPAA compliance.

This includes having a video monitor on the truck so you can witness the destruction of your sensitive documents.
  4. Ensuring the use of a mobile shredding company that will destroy your documents and hard drives at your location. No information is taken away to break the chain of custody.

SELECTSHRED | NEWSLETTER JANUARY 2015

PROTECT YOUR BUSINESS UNDER THE FLORIDA INFORMATION PROTECTION ACT OF 2014

Sometimes doing it yourself is cost-effective and wise. However, changing times, laws, and expectations dictate that businesses take another approach to completing a task that seems so mundane that there is no apparent reason why they should not do it themselves. Information destruction or document shredding is often considered as such a task.

Here are three ways to protect your business and comply with the Florida Information Protection Act of 2014:

  1. Outsource your information destruction or document shredding to a qualified third-party. If new information protection laws caused you to buy an office shredder, think about using a NAID AAA Certified information destruction company for proper destruction and disposal.
  2. Get a record of compliance from a third- party information destruction company. Without having a record of compliance from a NAID AAA Certified company, you can forfeit valuable legal protection if your business is alleged to have an information security breach. A certification of destruction from your information destruction company is your legal record of compliance.
  3. Ensure proper destruction of hard drives and other non-paper media. Before hard drives and other non-paper media are disposed of, the confidential information stored on them must be destroyed. This is best done by physically destroying the hard drives and non-paper media.

The best way to be compliant with the Florida Information Protection Act and with federal regulations such as FACTA, GLBA, and HIPAA is to entrust the security of your confidential information to a NAID AAA Certified company for its proper destruction and disposal.

SELECTSHRED | A MORE THOUGHTFUL APPROACH TO THE PROPER DESTRUCTION AND DISPOSAL OF HARD DRIVES AND NON-PAPER MEDIA -HARD DRIVE DESTRUCTION IN PALM BEACH HARD DRIVE DESTRUCTION IN STUART

SELECTSHRED | A MORE THOUGHTFUL APPROACH TO THE PROPER DESTRUCTION AND DISPOSAL OF HARD DRIVES AND NON-PAPER MEDIA

Since the Florida Information Protection Act of 2014 more individuals and businesses are definitely taking action to protect their own personal information and the sensitive information of their customers/clients. The Florida Information Protection Act sets the standards for maintaining and disposing of electronically stored confidential information. Also, it reduced data breach notification times regarding when customers/clients must be notified in the event of a data security breach.

The Florida Information Protection Act as well as the significant fines and negative publicity that affected some major companies due to data security breaches have caused more individuals and businesses to be aware of the consequences of these breaches. The increased awareness has led to the understanding that when data security breaches occur, no one will be absolved of liability if that information is ever retrieved and misused.

We are less likely to hear that someone is willing to hammer, drill or even wipe their hard drives. The requests have been coming in to destroy floppy drives, phones, CDs/DVDs, and other non-paper media. Many have realized that the complete destruction of electronic media is as important as the destruction of their printed media. For hard drives, the physical destruction of the hard drive platters is the only way to ensure complete destruction of the drives and the information that has been recorded on the drives.

More individuals and businesses are removing and destroying their hard drives and the information they contain before they recycle or throw out your their computers. They are less likely to entrust the hard drives to others if they are not sure of the hard drive destruction method to be used. A mobile/on-site NAID AAA Certified hard drive destruction company will use equipment and processes to destroy and dispose of hard drives efficiently, safely, economically, and environmentally responsibly. Ask to witness the hard drive destruction process.

TIME TO REVIEW YOUR DOCUMENT DESTRUCTION POLICIES | NAID AAA Certified Hard Drive Destruction in Stuart Shredding in Stuart

It’s that time of the year again when we reflect on the decisions of the past year and look forward to making changes for a new year. The following are three changes to consider with regard to your document destruction policies:

  1. Am I going to spend another year fighting with the office shredder? You do know that the office shredder provides no record of a compliant document destruction program. Also, office shredders do not provide adequate legal protection in the event of an information security breach. Office shredders are more costly than a third party shredding service due to the cost of wasted staff time, office shredder maintenance, consumables cost, and shredder replacement cost.
  2. Am I 100% satisfied with my current shredding service? If you already have a third party shredding vendor in place, it is time to consider whether you are getting the service you deserve. Is it your wish to have your documents shredded at a remote location or do you want to have the peace of mind in knowing that your documents are shredded securely on-site (at your location)? Are you happy with the reliability of the service? How about the billing, invoicing, and transparency of the service fees?
  3. Am I doing all I can do to safeguard the confidential information in my custody? Your reliance on the office shredder as a credible source of a sound document destruction program could jeopardize your brand image and your reputation. To ensure that you have fulfilled your obligations to protect the confidential information in your custody from its proper retention to its responsible destruction, use a NAID AAA certified company. This will keep you in compliance with federal regulations such as FACTA, GLBA, and HIPAA. Be sure to receive a certificate of destruction for your record at the time of each service.
